Hybrid and flexible work: Who's in the office today?
It used to be a question nobody had to ask. Now it is the first thing people want to know before they decide whether to come in, book a room, or walk over to somebody's desk. InOutBoard answers it on one shared board that the whole team keeps up to date.
The problem a hybrid week actually creates
When everyone was in five days a week, presence was its own notice board: you could see who was at their desk. When everyone was remote, the answer was simple the other way — nobody was in. A hybrid week is the awkward middle. The same person is in the office on Tuesday, at home on Wednesday, at a client on Thursday, and there is no way to tell which from looking.
Most teams patch it with a group chat message every morning, a shared spreadsheet somebody forgets to update, or a recurring calendar invite nobody reads. Those work until the day you need a straight answer—a visitor arrives, a room needs booking, somebody has to be reached, or the fire alarm goes off.
How InOutBoard covers it
Statuses in your own words. An Administrator sets up the status codes your organization actually uses. For a hybrid team that usually means In the office, Working from home, At a client, On leave—but they are your words, not ours, and you can add a location alongside so "in the office" can mean which office.
The recurring pattern sets itself. Somebody who works from home every Wednesday puts a repeating event on their own My Calendar and gives it a starting and ending status. From then on their status changes on Wednesday morning and back again on Wednesday evening without anyone touching it. This works off a person's own calendar rather than a shared company one, and an Administrator has to switch on Allow Calendar Events to Change Status for the organization and Allow Future Status on the user.
Reading it takes no training. The status board filters by location and department, so "who is in the Denver office today" is a filter rather than a question. It works in a phone browser with no app store download, which matters when the person checking is deciding at home whether to travel in. The status board refreshes on an interval each person picks—every five minutes out of the box—rather than pushing changes the instant they happen.
And it adds up to a record. Every status change is recorded, so reports can show how office attendance actually looks over a month rather than how anyone remembers it. Be clear with your team about what that is: it is what people recorded, not a turnstile count, and there is no GPS or location tracking anywhere in the product.
Can people check the status board before deciding to come in?
That is the main way hybrid teams use it. The status board opens in any phone or laptop browser without an app, so somebody deciding over breakfast whether the trip is worth it can see who else will be there.
Someone works from home every Tuesday. Do they set that every week?
No. A repeating event on their own My Calendar with a starting and ending status changes it for them each Tuesday. An Administrator switches on Allow Calendar Events to Change Status for the organization, and Allow Future Status on each user who should be able to do it.
Can we report on how often people are in the office?
Yes. Time History and the Time By Status Code reports cover any date range, filter by department or person, and export to CSV. What they show is the status each person recorded—treat it as an attendance record people keep themselves, not as a measured headcount.
Is this a desk booking or hot-desking system?
No. Resources books rooms, vehicles and equipment, and you could list desks there, but it is not built as a hot-desking tool: there is no floor plan and no seat map, although a reservation that overlaps another on the same resource is not allowed. If assigning seats is the problem you are solving, this is not the product for it.
Does it enforce our office-days policy?
No, and it does not try to. InOutBoard shows what people say they are doing and keeps the history; it has no concept of a required number of office days and will not flag, warn or report anyone against one. It is a visibility tool, not a compliance one.
