The status board for Media, Marketing & Communications

InOutBoard is an online in/out status board where each producer, editor, and crew member sets their own status and return time, so the agency can see who is on set, at a client, or heads-down, and when they resurface. Shoots, pitches, deadlines. One board shows who's on location, who's with a client, and who's heads-down—and when they'll resurface.

One board for the whole agency

  • Who's where, at a glance

On set, at a client, working from home—everyone's status and contact info in one shared view, updated from their own phones.

  • Track gear before it leaves

Cameras, kits, and loaner laptops get reserved in Resources—so you know who has what before the next shoot needs it.

  • Book people around real availability

Crew who put the shoot on their own calendar flip to On set when it starts—so the next booking is made around who's really free, not who looked free last week.

  • Protect deadline time

A heads-down status with a return time tells the office when someone's back—so deep work stops getting interrupted to ask if they're in.

Booked around who is actually free

The crew, the calendar, and the kit stop being three separate conversations.

How a shoot gets booked

  1. An Administrator adds status codes the agency recognizes: On set, At a client, Editing, Heads-down, Remote. Give Heads-down a return time so deep work stops getting interrupted.
  2. Cameras, lenses, and loaner laptops go into Resources, organized by type and location, so there is one list instead of a spreadsheet and a sign-out sheet.
  3. A producer reads the status board and the shared calendar together to find a window when the crew is genuinely free—not a week when they merely looked free.
  4. The kit gets reserved for the shoot dates. Every reservation shows who has it and when it is due back, and it can be extended or canceled in a couple of clicks. A booking that overlaps one already on the schedule is not allowed, so two shoots cannot hold the same camera for the same dates.
  5. The shoot goes on a shared calendar, so the rest of the agency can see it without asking. Crew who also put it on their own My Calendar have their status flip to On set on the day.
Does booking a camera stop someone else taking it?

Yes. A reservation that overlaps one already on the schedule is not allowed. Resources also shows every reservation, who has the item, and when it is due back, so keep the one list instead of a sign-out sheet.

Can a heads-down status be left alone?

That is what the return time is for. Give Heads-down a return time and the status board tells the office when the person is back, and a message waits on their dashboard instead of a tap on the shoulder. The return time turns red if it passes without an update.

Can freelancers be on the status board?

Yes, as users. Each active user takes one license in any role, and a freelancer between jobs can be set to Inactive so they stop counting until the next one.
