How to choose an in/out board
Whether you call it an in/out board or an in and out board, most of these tools demo well. The differences show up in week three, once the novelty has worn off and people either keep updating it or quietly stop. Here is what we would actually compare, and how InOutBoard answers each one.
Common questions
Who keeps it up to date?
This is the one that decides whether a board survives. If updating it is somebody's job—a receptionist, an office manager—it is accurate while they are at their desk and wrong the rest of the time. If everyone updates their own, it stays current but only if doing so takes seconds. Ask to see the update flow on a phone, not on a laptop, and count the taps.
Does it need an app?
An app means an app store, a rollout, and an update somebody has to push. It also means the people who most need to update from outside—field staff, contractors, anyone on a personal phone—have one more reason not to. A board that runs in a browser, like InOutBoard.com, sidesteps all of that; a board with a genuinely good native app may be worth the overhead. Decide which you are buying.
Can you name the statuses yourself?
A fixed list of In and Out fails on contact with a real organization. You want the statuses to be the words your team already says—"On the floor", "In court", "At a client", "Deploy window". Ask whether you can add, rename and color them, and whether a status can carry a return time with it.
What happens when someone does not come back?
For teams who send people out alone, this is the whole point. Ask what the status board does with a return time that has passed, who gets told, how long it takes, and whether the vendor guarantees delivery. Anyone who says an alert is instant and guaranteed is telling you what you want to hear—email and SMS are neither.
Is there a record afterwards?
A board that only shows now is a board you cannot answer questions with later. Ask whether status history is kept, for how long, how far back you can report, and whether it exports. Then ask the awkward version: what happens to it if you cancel.
How does the price move as you grow?
Per-user pricing looks cheap at ten people and decides your behavior at two hundred—teams start leaving people off the status board to stay in budget, which defeats the exercise. Look at what the tool costs at the size you will be in two years, and check whether features are tiered: a cheap plan that excludes the one thing you needed is not cheap.
What does it not do?
Ask this one out loud and listen to how it is handled. Every tool in this category has real limits, and a vendor who cannot name their own either does not know the product or is hoping you will not notice until you have paid. Ask us the same question: the help center answers it feature by feature, and so will we. Our answers to the other six are below.
Why teams choose InOutBoard
Question by question, here is how InOutBoard answers the seven above.
-
Everyone keeps it current
Each person sets their own status and return time, from any browser, phone included, in a few taps. Nobody is the status board's keeper, so it is right when the receptionist is at lunch and right at 6 am on a job site.
-
Nothing to install
InOutBoard runs in the browser on any phone, tablet, or computer. There is no app store, no rollout, and no update to push. Anyone who wants an icon can add it to their home screen as a web app.
-
Your words, your statuses
Add, rename, and color status codes until they are the words your team already says. Any of them can carry a return time, fixed or offset from now, and In, Out, and PTO types decide how the hours are counted.
-
Someone is told when a return time passes
When a person is overdue, InOutBoard raises a past-due alert to their manager by email or text, so the one who went out alone is noticed by the system, not just by whoever happens to look.
-
A record you can report on
Every status change is recorded as history. Time History, Time Card, current status, and emergency reports answer the questions that come later, and export to CSV. Most filter by location and department; Time Card filters by person and dates.
